Job summary

We are looking for a highly motivated, strategically minded, experienced Dispensary Manager to join our team at Upper Eden Medical Practice and lead our Dispensers.Participating in the daily tasks of dispensing in addition to managing, leading, and encouraging the team's ongoing growth.

32 hours per week

Main duties of the job

To be responsible for ensuring the dispensary is well led and be responsible for the safe, accurate and efficient dispensing of medication to the entitled patient population, providing advice and support for both patients and colleagues at Upper Eden Medical Practice.

In addition, the post holder will be required to manage the dispensary staff and support the multi-disciplinary team in line with the strategic objectives of the practice.

Job description

Job responsibilities

This list of duties and responsibilities, which follows, represents the broad range of tasks which may be required to be undertaken either routinely or periodically. This list is not exhaustive, and the role may include additional duties which are not listed here.

Staff Management

Provide mentorship and guidance for trainee dispensary staff, apprentices and students.

Overseeing the Dispensary teams annual leave, liaising with the Practice Manager where appropriate.

Line manages the dispensary staff in accordance with current practice policy.

Ensure team members complete significant event forms correctly and in a timely manner.

Being an expert in all aspects of the clinical system and be able to train other team members, in the best use of the system.

To be responsible for the effective line management, appraisal, and development of dispensary staff

Carry out appraisals and identify training needs based on competencies required for the DSQS.

To oversee training of new Dispensers.

To lead the team of Dispensers and organise a weekly rota or deputise the latter as required.

To take responsibility for developing their own clinical competence, leadership, and reflective practice skills within the workplace

Arrange staff meetings and / or training, as required.

Purchasing and Stock Control

Ensuring that all returned controlled drugs are disposed of and recorded correctly.

Responsible for maintaining efficient, cost-effective stock control, minimising wastage through out-of-date stock.

In conjunction with the Medicines Manager ensure controlled drugs are dispensed with in accordance with practice policy.

To be responsible for the commercial buying of drugs and Surgery sundries for the Practice.

To maintain cost effective supplies of those drugs that are purchased centrally on behalf of the Practice.

To devise and explain to each Dispenser the mechanisms for ordering from the central supplies.

To complete the annual DSQS as required with the Medicines Manager.

Reconcile invoices.

Ensure prescriptions are collated, endorsed, and submitted to NHSBA each month and associated analysis.

Dispensary Management

With the Medicines Manager review the latest guidance, ensuring the dispensary conforms to NICE, CQC, etc. guidance.

To liaise with the Lead GP and Medicines Manager for Dispensing over formularies.

Ensure SOPs are in place and reviewed on at least an annual basis.

To act as Health & Safety Committee Representative for the Dispensary.

Partake in audits as directed by the audit lead.

To ensure and maintain effective distribution of dispensing supplies to the Surgery.

To focus efforts to the maximum benefit of the Practice with respect to the policy decisions made from time to time by the Practice.

Experience

Essential

  • Experience of working in a dispensary
  • Experience of managing dispensary services in primary care
  • Experience of managing a team
  • Good clinical system IT knowledge of EMIS

Desirable

  • Broad knowledge of General Practice

Qualifications

Essential

  • Qualified Dispenser (NVQ Level 2)
  • GCSE (or equivalent) English & Maths at Grade C (or equivalent) or above

Desirable

  • Managerial qualification to diploma level, or equivalent experience
  • NVQ Level 3 in Pharmacy Services or equivalent
