Job summary

The role is an all-rounded, patient facing and back- office administration role; we are seeking individuals to join our team who are caring, compassionate and confident, who demonstrate effective communication, excellent customer service skills, IT skills, and the ability to support patients with general enquiries and signpost them to the most appropriate team member or service. The post holder will be a key member of the practice team, responsible for completing a variety of tasks including dealing with patient requests i.e. appointment booking, general enquiries in person and over the telephone, as well as performing a number of administrative duties.

Main duties of the job

  1. Delivering an efficient, effective and professional reception service to our patients
  2. Care navigation ensuring patients see the most appropriate clinician for their needs.
  3. Making appointments both face to face and by telephone
  4. Responding to queries in accordance with practice procedures
  5. Undertaking administrative support to the GPs and other Clinicians
  6. Extensive use of the GP Clinical System (TPP SystmOne)

Job responsibilities

1. Responding to patient queries and liaising with the wider primary care team.

2. Managing appointment requests and signposting patients to our range of services.

3. Maintaining patient records and maintaining patient confidentiality.

4. Utilising other information systems to support efficient workflow processes.

5. Emailing, scanning and coding clinical correspondence.

6. Processing prescription requests in a timely manner.

7. Supporting patient health promotion recall campaigns.

8. Encouraging uptake of our digital tools to support patient self-care.

Person Specification

Qualifications

Essential

  • Educated to GCSE level or equivalent.
  • Admin qualification
  • Excellent customer service skills
  • Experience of using IT systems
  • Good communication and inter-personal skills
  • Excellent telephone manner
  • An ability to use own initiative and work under pressure
  • A 'can do' attitude and a sense of humour

Desirable

  • Experience of working in a General Practice setting
