An exciting opportunity has arisen for a Facilities Manager to join our team!

Leading our dedicated Estates, Catering and Housekeeping teams, you will manage a responsive facilities function and develop support service operations in accordance with our Willen Hospice strategy, delivering this on time, within budget and in accordance with all regulatory and quality standards.

Playing a central role in improvement and development, and as a member of the Hospice Senior Management Team, you will contribute to the development of the Hospice Strategic Plan working collaboratively with the SMT to ensure its delivery. Your role will also lead on the hospice sustainability agenda.

Main duties of the job

You will provide advice and support with plans for new facilities; as well as promoting a safe working culture, and managing the annual planned preventative maintenance for the Hospice property portfolio. You will also be responsible for developing the vision for the future of the estates department bearing in mind the strategic goals of the Hospice.

Job description

Job responsibilities

Oversee and manage the Willen Hospice Estate and Facilities services, including maintenance, catering, housekeeping, driving/portering, security, records management, grounds, waste management, vehicles, environmental management, medical gases, residential accommodation and facilities hire services.

Ensuring that all premises, services and facilities are safe, compliant and suitable for their intended use. Provide effective leadership to the Estates, Catering, Housekeeping and Sustainability teams.

As a member of the Hospice Management Team, contribute to the development of the Hospice Strategic Plan working collaboratively with the SMT to ensure its delivery.

Key Accountabilities:

1. Lead, motivate and set the strategic direction for multi-disciplinary teams including cleaning, catering, maintenance, drivers, sustainability and grounds, ensuring that the overall organisational strategy is captured within departmental objectives.

2. Produce and implement an annual planned preventative maintenance schedule for the hospice estate (including the shops and distribution centre.)

3. Ensure that all statutory and mandatory compliance associated with our buildings and FM services is achieved, risk assessments are completed, and that services are delivered in the most cost effective way.

4. Oversee and review Willen Hospice service & maintenance contracts for all FM related services, including but not limited to, buildings, grounds maintenance, cleaning, catering, health & safety, security, waste, and utilities. Ensuring value for money and good service provision.

5. To be aware of changes in legislation related to the job role, and the impact on the Hospices premises, estate or processes that any changes may have.

6. Monitor, review and update all estates and FM related policies, ensuring that they are fit for purpose and adhere to the relevant statutory and mandatory legislation in place.

7. Play a key role in the promotion and development of a safe working culture within the organisation, including the monitoring of working practices, the production and review of estates related risk assessments, contributing to the Directorate Risk Register, acting as a member of the Clinical Governance and Health & Safety Committee, final investigator for all non-clinical Vantage reports and acting as Appointed Officer for medical gases.

8. With agreement of the CEO, setting and managing budgets for facilities departments, ensuring cost-effectiveness and value for money is achieved.

9. Overseeing the hospice environmental and sustainability agenda, supporting the Sustainability Officer on initiatives and projects in relation to reducing the organisations carbon footprint and leading our Environmental Champions group.

10. Manage and maintain the Hospice owned or leased vehicle fleet (excluding retail and distribution); and the delivery of Willen Hospice portering and driving services.

11. Prepare management information, including drafting business cases, proposals, reports and making recommendations.

12. As a senior manager within the organisation, participate fully in cross-functional planning, forming part of the Property, Health & Safety, Strategic Delivery Group and Business Continuity committees, supporting the broader strategic vision and building excellent working relationships with other department managers and teams.

13. Plan for future development in line with strategic business objectives, managing the allocation of space and leading change to ensure minimum disruption to the hospice core activities.

15. Responsibility for the management of any residential accommodation rental agreements and facilities hire, including lease negotiation, ensuring that all building legal requirements are met and an appropriate PPM schedule is in place.

16. Lead, manage and develop the teams under the area of responsibility, ensuring delivery of core services through effective delegation, support and coaching, ensuring they continually strive to demonstrate the Hospice values.

Person Specification

Qualifications

Essential

  • Minimum NEBOSH General Certificate. IWFM Level 4 Diploma (or equivalent), plus minimum of 3 years experience in facilities, building services and health & safety. Likely to be an experienced project manager with expertise across a number of disciplines. Previous responsibility for fire safety, risk assessments, policies, and audit within a healthcare setting would be advantageous. Expected to maintain up to date knowledge of current legislation. Most senior specialist in the organisation.
