An exciting opportunity has arisen for two highly motivated and well organised individuals to join the Education Team at Dorset County Hospital as Practice Education Administrators

This posts will provide administrative duties for the non medical undergraduate student team supporting the co-ordination of students placements and supervisor/assessor training.

The clinical skills, simulation and learning needs analysis teamand the support worker development team.

Applicants will require excellent communication, administration skills and ICT skills. Experience of Microsoft Office is required. An understanding of the Electronic Staff Record (ESR) and E-Rostering system would be desirable but not essential as full training will be given. The posts require experience in the management of multiple online systems to monitor and co-ordinate learner activities and training.

The successful applicant will need to have a flexible approach to work and be able to cope with a demanding workload and ever-changing priorities. The ability to use their own initiative and demonstrate excellent customer service skills are essential. The successful candidate will need to demonstrate excellent organisational skills and team working.

Main duties of the job

To provide administration support to the practice education team

To organise a wide range of educational events/courses in conjunction with practice education and wider education team.

Booking attendees on to courses, and recording of attendance

To monitor and record non-attendance at training events including following up with the individual and their line manager and Higher Education Institutions.

Monitoring of study leave on rosters for non-medical learners

To liaise with the administrator for the education website and ensure course information is updated accordingly

To organise placements for undergraduate students under the direction of the practice education team .

To monitor and update databases and send reminders to staff due to go out of date to book onto training.

To send out student evaluations to all clinical departments on a quarterly basis.

To keep update and maintain detailed and accurate records

Produce comprehensive reports in relation to course attendance to include analysis of nonattendance

Enter course attendance on ESR and update with completions.

To support the Education Centre Administrators with general reception duties and enquiries.

Job responsibilities

  • To provide administration support to the Non-Medical Undergraduate Practice Education team
  • Work with the Non-Medical Undergraduate team to manage the new starter process for all new non-medical undergraduate learners allocated to the organisation.
  • Create job requests for the new starter IT accounts and book places onto ICT training sessions, Trust Induction.
  • Create new learner accounts on E-Roster and internal placement systems
  • To input and maintain placement information in relation to non-medical undergraduate learners, onto Higher Education Institutes and internal placement systems.
  • Work in collaboration with the Apprenticeship Team to collate all non-medical healthcare apprentice placements, communicating this information with the E-Rostering Team for uploading on to internal systems and informing E-Rostering Team of any changes.
  • Ensuring all learner accounts for internal systems are closed appropriately if the learner has withdrawn or when the learners study is completed.
  • Ensure that each non-medical undergraduate learners academic timetable is appropriately reflected on E-Roster including study days and University attendance.
  • To organise and monitor courses for staff that support learners in practice and maintain a register of attendance and evaluation on ESR
  • Provide guidance and support for staff that supervise and assess learners with the application process for supervision and assessment courses.
  • To offer any additional administration support to the non-medical undergraduate practice education team as required.
  • Support the wider education administration team with cross cover and reception cover when deemed appropriate.

Person Specification

Education Qualifications and Training

Essential

  • 5 GCSE's to include Maths and English (A-C/4 -9) or equivalent qualification
  • Level 3 in Business Administration or equivalent or willing to undertake

Knowledge and Experience

Essential

  • Experience of working in the NHS or an educational environment within the last 3 years
  • Experience of working with computer systems, to include Microsoft Office
  • Experience of setting up and maintaining administrative processes

Desirable

  • Experience of analysing data and producing reports
  • Knowledge of NHS careers and routes into the NHS.

Skills and Abilities

Essential

  • Evidence of ability to work on own initiative but also as part of a team
  • Evidence of effective communication with all members of the multi-disciplinary team

Desirable

  • Evidence of ability to work within specified standards and timescales
  • Knowledge of ESR and other database systems
  • An understanding of the meaning of confidentiality and the requirement for this to be maintained
  • Evidence of ability to respond quickly to changing priorities organising and prioritising own workload to meet deadlines
