Job summary

To co-ordinate and book chemotherapy and other Systemic Anti-Cancer Therapy (SACT) in relevant electronic systems for patients as per booking guidelines.

To reschedule and plan - rebooking of chemotherapy as required for patients.

To identify and escalate pressures in the demand and capacity on the service.

Main duties of the job

To oversee the flow of patients on day case & highlight any concerns to senior nursing staff.

Schedule patients for chemotherapy appointments.To contribute to service improvement initiatives by suggesting areas for improvement to Senior Sister and collating data as required.Place regular orders on stationery and supplies.Utilise chair capacity of the department and the nursing resource in the most effective and efficient.Provide training & support for new staff.Collaborate with senior nursing team regarding any concerns in management of patient chemotherapy appointments.Collate and provide information on data relating to private patients where charges should be made.To inform Private Patient Co-ordinator of all private patients, ensuring any relevant documentation is completed.Perform or contribute to audits as required.

Answer any telephone queries from patients and carers with a kind and sympathetic approach.Interpret and deal with confidential telephone enquiries and redirect as appropriate or necessary.Answer telephone queries from other departments and staff in an appropriate and professional manner.Identify and escalate to line manager, any concerns regarding inefficient use of the service or excessive demand on the service.To manage small projects as outlined in yearly objective.To co-ordinate and re-schedule patients through the chemotherapy pathway ensuring a seamless and planned approach.

About us

The Chemotherapy service is led by a Senior Sister who is supported by her deputy. We work closely with the Systemic Anti- Cancer Treatment Clinical Nurse Specialist and her community team to develop an extended service. The oncology and haematology service consists of specialist Clinical Nurse Specialist who work closely with the Consultants and the Chemotherapy Nurses. The delivery of the Chemotherapy, recognising side effects and to be able to escalate and treat any problems appropriately.Effective communication skills are essential.

Education, Qualifications & Training

Desirable

  • Educated to GSCE Level C English or equivalent
  • NVQ Level 3 or equivalent in Business Administration or similar
  • Good level of literacy and numeracy

Skills & Abilities

Essential

  • Knowledge of secretarial or administrative procedures and systems, some of which are non-routine, and non-routine activities such as answering queries, task-related problem solving
  • Evidence of effective communication skills, both written and verbal
  • Clear understanding of the meaning of confidentiality and the requirement for this to be maintained
  • Understanding and knowledge of information governance
  • Evidence of good organisational skills and ability to prioritise work and meet deadlines.
  • Willingness to develop skills in other IT systems
  • Must demonstrate DCH trust values

Desirable

  • Evidence of the ability to handle telephone calls sensitively and efficiently
  • Evidence of ability to work as part of an effective team

KNowledge & Expereince

Essential

  • Keyboard skill/data inputting skills
  • Recent experience of administrative role
  • Experience of dealing with the public, face to face and on the telephone
  • Good working knowledge of Microsoft Office Software

Desirable

  • Recent acute hospital/other healthcare experience
  • Recent experience of using Patient administration system (PAS)
  • Ability and confidence to deal with people effectively and confidentially
