An exciting opportunity has arisen at our established and busy Practice for an Office Administrator to join our team at the Phoenix Health Group.

Main duties of the job

Administration team duties include:

To ensure that administrative systems are in place to help clinicians meet the clinical requirements of the GP contract/QOF/Enhanced Services etc.

Provide administrative support to help clinicians maintain high standards of care across all clinical areas through audits, register checks, templates & coding, protocols, patient recall etc.

To ensure that administrative systems are in place to help the Practice maximise its income for clinical work done.

To register new patients and to keep existing patients registration details up to date in line with the NHS spine.

Job responsibilities

Objectives of the Admin Team:

To ensure that administrative systems are in place to help clinicians meet the clinical requirements of the GP contract/QOF/Enhanced Services etc.

Provide administrative support to help clinicians maintain high standards of care across all clinical areas through audits, register checks, templates and coding, protocols, patient recall etc.

To ensure that administrative systems are in place to help the Practice maximise its income for clinical work done.

To register new patients and to keep existing patients registration details up to date in line with the NHS spine.

MAIN RESPONSIBILTIES:

Clinical coding of documents on patient medical records.

Summarising incoming patient medical records accurately and in a timely manner.

Registering new patients with the practice and linking them to the NHS spine.

Inputting Bowel screening results into patients medical records and actioning where required.

Collating and distributing the Friends and Family data across the 5 sites and displaying the data for viewing.

Processing online access applications

Manage temporary residence process for both Phoenix and visiting patients.

To action any incoming vaccine documents from other health care providers in workflow on a daily basis.

Other duties as reasonably requested by management.

SHARED RESPONSIBILTIES:

Work with the rest of the Admin Team to make sure that patient registrations (including change of address requests etc.) are completed in a timely manner. Also ensure that all processes relating to patient registrations (e.g. Workflow screens, GP Links, Dashboard and filing of new patient registrations and changes in Docman) are completed regularly and that registration details and registration status information on EMIS is accurate and up to date.

Knowledge/Skills

Essential

  • Excellent keyboard and computer skills.
  • Excellent communication skills, verbal and written.
  • Experience of data management.

Desirable

  • Experience of using EMIS.

Experience

Essential

  • Good standard of education, including qualifications in English and Maths.
  • Competent user of Microsoft Office software, including basic knowledge of Excel.
  • Experience of working in an office environment.
  • Experienced administrator.

Desirable

  • Experience of working within Primary Care.
