An exciting opportunity has arisen for the appointment of an enthusiastic, well organised administrator to join the busy Learning & Development team at the Charles Hastings Education Centre on the Worcestershire Royal Hospital site.

To manage this very busy environment you will need to be flexible, with excellent organisational, time management and communication skills.

We are looking for someone who is at ease with talking to a wide range of staff groups, with an attention to detail. You will also have a willingness to learn, be caring and highly motivated and have excellent customer services skills.

Main duties of the job

A typical day will involve you responding to queries both by email and telephone, inputting into our learning management system, sending out joining instructions and attendance registers. Providing cover on our busy Education Centre reception desk.

Job responsibilities

Key working Relationships:

Internal: Learning & Development Manager, Consultants, Nursing and other health care professionals, Administrative teams, Wards, Departmental managers, HR, Learning & Development, PFI partners, Medical Education.

External: Training providers, visitors of the Education Centre.

Job Purpose:

The principal role is to fulfil the administration and clerical functions of the Learning & Development department ensuring all policies, processes and guidelines are adhered to. The role requires skills that include attention to detail, ability to liaise with a wide range of staff groups and extensive computer skills.

The role will provide comprehensive administrative support to the Department and maintain ESR/OLM Learning Administration system.

Key Responsibilities:

Administrative

Undertake administration duties including emails, training registers, photocopying, scanning documents, dealing with telephone enquiries,

Take bookings for internal training events using the OLM/ESR booking system, confirming attendance, sending joining instructions via email and collating evaluation forms.

To provide administration and course management for all courses including liaising with trainers to ensure there are dates available

To provide a point of contact for the Learning & Development department liaising with staff at all levels dealing with their requests and queries.

To receive and distribute departmental post to the relevant person in a timely manner.

Ensure Learning & Development webpages are kept up to date with current information regarding training courses

Will ensure that confidentiality of all clinical and personal information remains secure and that the terms of the Data Protection Act are met in respect to all such information held

Liaising as necessary between and responding to enquiries from all healthcare professionals, voluntary agencies and members of the public.

Reception Responsibilities:

To provide cover for reception including opening & locking up the building in the absence of other team members.

To greet visitors to the centre in a polite and respectful manner.

Take education centre room bookings via email or telephone and enter onto bookwise.

Deal with enquiries as appropriate.

Report any problems, health & safety risks and hazards immediately to estates.

Educational responsibilities:

To have sufficient knowledge of the L&D departments systems to be able to advise and inform employees.

Will participate in own appraisals and personal reviews and work to achieve agreed set objectives.

Will participate in appropriate training and development activities as required for the post.

Person Specification

Qualifications

Essential

  • English Language & Maths GCSE Grade A-C or equivalent.

Desirable

  • Apprenticeship Level 2 Customer Services/ Business Administration or equivalent.

Experience

Essential

  • Experience of using IT software packages, maintaining databases and producing reports
  • Previous experience of Microsoft office packages.

Desirable

  • Experience of working in an administrative/secretarial/reception role
