Job summary
We
are looking for an accomplished manager with excellent leadership skills to
oversee operational functions within the practice and work with the partners on business development.
We are rated Good
by CQC (2023).
Hours are full-time or part-time (over a 4 days).
Main duties of the job
The successful candidate will have a positive and approachable manner. They will be proactive with proven operational management experience, along with excellent organisation skills and a high level of attention to detail. They will provide advice and guidance to the partnership and be responsible for CQC and regulatory compliance, HR, project and premises management and ensuring effective processes.
Ideally with strong IT and technical skills, they will have knowledge and experience of data analysis to be able to carry out system searches and audits and will prioritise their workload in order to meet targets and deadlines.
Experience of working in general practice is preferred but we welcome applications from candidates in similar roles who can demonstrate they have the transferable skills.

With an emphasis on providing high quality care to our patient population of 8,500, we have a stable partnership of 5 partners and an Operations Manager, Reception Lead and Secretary who support this role. Our bookkeeping and payroll are outsourced.
Job description
Job responsibilities
a)
Oversee the management of the day-to-day operations of the practice,
ensuring that staff achieve their primary responsibilities.
b)
Manage the HR processes, including recruitment, relevant checks,
contractual issues, appraisals and staff performance.
c)
Workforce planning to ensure a good skill mix with staff having the
appropriate level of training to enable them to carry out their individual
roles and responsibilities effectively.
d)
Ensure employment law and legislation is adhered to.
e)
Liaise with the Primary Care Network (PCN) and locality commissioners,
attend meetings and promote collaborative working.
f)
Provide support and advice to the partnership and keep them updated on
practice matters.
g)
Keep up to date with developments and changes within primary care.
h)
Liaise with the
Bookkeepers (outsourced) for finance related matters, pensions and payroll, ensuring
accurate reporting and submissions.
i)
Assist in the
financial planning and forecasting, working closely with the partners.

Ensure the practice explores all opportunities to maximise income and
reduce expenditure in collaboration with the partners.
b)
Ensure Quality and Outcomes Framework (QOF) and commissioned service
targets are met.
c)
Manage the significant event and complaints processes, in line with
current legislation and guidance.
d)
Manage contracts and maintenance for services and equipment.
e)
Oversee the review and update of all practice policies and procedures.
f)
Lead and coordinate projects within the practice.
g)
Oversee the management of the practice IT system, including compliance
with the Data Security Protection Toolkit (DSPT).
h)
Coordinate the practice development plan and business continuity plan.
i)
Assist in the preparation of business cases for new services, as
required.
j)
Ensure on-going CQC compliance.
k)
Ensure the practice maintains compliance with its NHSE contractual
obligations.
l)
Provide advice and support to the staff and the partnership to ensure
effective team working.
m)
Manage effective communication, both internal and external and ensure
the website and other communication platforms are accurate and up to date.
n)
Facilitate partners and practice meetings and maintain an up-to-date action plan.
o)
Support the management of the Patient Participation Group.
p)
Manage estates and facilities, including health and safety aspects and
risk assessments.

Qualifications

- Literacy and numeracy skills sufficient to manage a small to medium sized business
