Job summary

This position is to support the wider receptionists and care navigation team in the back office functions within the practice

This position is up to 30hrs per week and to include 7.45am starts and 18.30pm finishes over a minimum of 4 days and must include Mondays and Fridays

About us

We are a 12300 patient, 4 partner PMS based practice based under SWL ICB. Last CQC inspection Oct 2016 - Good in all areas. We are a high achieving, high performing and a training practice. We have a large clinical team consisting of (but not limited to) 4 partners, 5 Salaried GPs, 3 Nurses, 1 Nurse Associate, 2 HCAs, 2 Phlebotomists. Our administration team is lead by our Practice Manager with support of a Non Clinical Manager, Finance Manager and strong Administration & Reception team.

We are based over two sites and the successful candidate will be expected to work across both surgeries. Our main surgery is: 54 Benhill Avenue, Sutton, Surrey, SM14EB and our branch surgery is: 10 Hardegray Close, Sutton, Surrey, SM2 5FQ. We are an enthusiastic, high performing, high energy practice that aims to provide the best healthcare for our patients and their families. We are also a member of Cheam and South Sutton Primary Care Network (PCN), with one of the clinical directors being a Salaried GP in our practice.

Job responsibilities

  • Support Non Clinical Manager (NCM) with the smooth running of the office, including updating staff in IT developments or upgrades where appropriate (Microsoft, NHS Mail, Smartcards, reset passwords etc)
  • Support the Practice Manager (PM) and NCM with complaints (where required) with basic operational complaints, related to non-clinical team and follow up investigation, response and documentation process. When required escalation to the PM for input and follow up with support where required
  • Work with the NCM to support team with any smart card issues
  • Support PM and NCM with any new systems as delegated by SWL GP IT
  • Provide Secretarial support where required. To include all aspects of the secretarial day including Lexacom, ERS, NHS mails, Referrals, N Drive uploads, Emising letters, referral forms and documents, tasks and requests
  • Reception/Team Leader - One regular session per week and cover when required
  • Patient Care - Ardens Searches / Templates, Filtering, Mail merges, Recall systems liaise with PM, NCM and clinical team for in house patient LTC management
  • QOF and Long Term condition Chronic Disease Recall. Oversea and delegate timely and appropriate recall process for all conditions to support QOF and long term management of patient health
  • Support the Workflow Optimization group and ensure the process is followed and implemented in a safe and timely manner
  • NHS Health checks Ensure timely recall and booking is undertaken to meet targets by supervising appropriate team members undertaking the recall process
  • Support when required SARs/Notes/Reports/Insurance/Medicals Meet ICO requirements and deal with appropriate queries that arise from patients in relation to requests, ensuring patients are kept up to date as to where we are in the process
  • Support PM and NCM to ensure adequate and appropriate policies are in place to support the Practice staff and patients are compliant with all GDPR regulations at all times
  • When needed, assist with the induction training of new staff members to all IT requirements such as: Docman, Emis, Email, Label Trace, Lexacom etc...
  • Generally assist team members with daily issues in relation to IT for standard operational processes
  • Support PM and NCM to maintain all Practice policies and procedures to ensure they are up to date and reviewed in a timely manner
  • Support the PM and NCM with Health and Safety procedures
  • Support the PM and NCM with entries in the Accident Book when required (H&S of staff and patients)
  • Support the PM and NCM in implementation of fire protocols and evacuation procedures
  • Support the PM and NCM for system hardware and software for IT problems for all staff
  • Run searches and reports as requested by the PM and NCM or by GP Partners or as necessary in order to complete given tasks
  • Ensure that all failures of equipment (hardware and software) are reported timeously, recorded and monitored to final resolution
  • Support PM and NCM in new system implementation delivery with training for all appropriate staff as required. When requested ensure adequate support and training is provided and create training instructions as required to support implementation
  • Support the GP Partners in the absence of the PM or NCM when appropriate to ensure smooth running of the business and business continuity
  • Provide PM and NCM support for GDPR, Safeguarding, Data Protection and Duty of Candor
  • Provide support to the PM and NCM in the absence of either
  • Provide support to the PM and NCM with day to day running of the practice where required
  • Provide support to the PM and NCM to ensure all non clinical policies and processes are up to date for all non clinical workloads and shared with the team

Person Specification

Qualifications

Essential

  • Minimum 2 years previous Primary Care NHS Experience
  • Full knowledge of the following IT Systems within Primary Care: Emis Web, Docman (Preferably with Workflow Optimization Experience), AccuRx, Ardens and NHS Email
  • Fluent in Microsoft Office including: Outlook, Excel, Word, PowerPoint, Teams
  • 5 GCSE grades A to C or equivalent to GCSE (To include English and Maths)
  • Prescription Experience
  • Keeps calm under pressure and able to work Independently

Desirable

  • ERS (Electronic Referral System)
  • Previous Secretarial Experience
  • Previous use of EMIS searches and Arden's searches/templates including Long Term Condition (LTC) recall
