An exciting opportunity has arisen in the Theatres and Critical Care Directorate for an enthusiastic, positive, dynamic and proactive individual to join the team as an Administration Manager to help provide robust and consistent line management, operational management and HR support to our administrative workforce, whilst working closely with the directorate management team to help deliver transformational change and improve day to day performance.

Main duties of the job

This role provides an exciting opportunity for someone who has excellent organisational and interpersonal skills to support the Theatres and Anaesthetics Directorate in the line management of administrative staff in the following departments:

  • Theatres
  • Anaesthetics
  • Day Case
  • Endoscopy
  • Community Dentistry
  • Pre-op
  • ITU
  • Chronic Pain Service

The successful candidate will also work with the administrative teams and the Deputy General Manager to support operational functions within the directorate such as; medical staffing; theatre scheduling and capacity and demand planning.

In addition to these responsibilities the successful candidate will also work closely with the administrative teams and Deputy General Manager to deliver specific key performance indicators (KPIs) and ensure departments within the directorate are working in line with national and local guidance to facilitate high quality care. These KPIs include:

  • Theatre and endoscopy utilisation
  • JAG administration to support JAG accreditation
  • 14 day, 28 day and 62 day cancer pathway targets
  • RTT and 52 weeks targets
  • 6 week endoscopy targets
  • The management of the endoscopy surveillance waiting list
  • Data Quality
  • Anaesthetic workforce planning
  • HR KPI's such as; sickness; staff turnover; appraisals; bank spend

Person Specification

Education & Qualifications

Essential

  • Educated to degree level or equivalent or relevant experience
  • 5 GCSEs grade C or equivalent to include English & Mathematics

Experience

Essential

  • Previous experience of office management
  • Experience of taking and transcribing minutes

Skills, Knowledge & Abilities

Essential

  • Experience of managing own workload and meeting tight deadlines
  • Proven ability to work well under pressure and deal with difficult situations
  • Highly developed knowledge of Microsoft Office applications
