Job summary

The Rota Administrator will co-ordinate the medical staffing rotas within the Emergency Department, whilst working in a supportive environment. The role has been developed to improve and support the working lives of our clinical team with respect to the following:

  • Rota management
  • Rostered opportunity to attend education events to meet their training requirements.
  • Registrar/Junior Doctor rotations

To work independently utilising own skills and initiative, in an organised, efficient, and effective manner, in order to prioritise own workload. Post holder is expected to be flexible in their approach to meet the needs of the service.

Work areas will include:

  • Provide comprehensive administrative support for the production and running of the medical rota's within the Emergency Department, under the guidance and with support of the CBU Assistant Manager.
  • Provide a high level of customer service.

Main duties of the job

  • To support the production and maintenance of the medical staff rotas for the Emergency Department, ensuring that they are compliant with SDT, shift patterns and BMA rules.
  • To support the design, production and monitoring of rota templates when required ensuring compliance with regulations, bandings and enhancements.
  • Produce and maintain live working medical rotas with the electronic software system, updating with live swaps, locum doctor shifts and names of booked doctors covering vacancies.
  • Work with resourcing to produce work schedules for new starter trainee doctors and produce bespoke LTFT work schedules.
  • Distribute rotas to all new starters and training doctors ensuring that the New 2016 Junior Doctor Contract standards are met.
  • To support the production and maintenance of Medical rota's within the Emergency Department.
  • To support the amendment of rotas in a timely manner to reflect leave, swaps, sickness absence and any other reasons requiring amendment of rotas.
  • To support the identification of any shift gaps in the rotas and reporting of such gaps to line manager/CBU triumvirate in a timely manner to maximise the chances of obtaining appropriate cover. Advising CBU Managers and Clinical Directors on rota issues and HR issues to ensure that patient care is not compromised.

Experience

Essential

  • oExperience of an electronic rostering system.
  • oFamiliar with medical staffing grading.
  • oExperience of managing a staff roster.
  • oExperience working within a medical NHS environment.
  • oCoordination of day to day staff allocation.
  • oExperience in generating shifts for payroll management.

Desirable

  • oNHS experience
  • oKnowledge of Trust system Lorenzo.
  • oKnowledge of Trust Rota system Medirota and Patchwork
  • oExperience of managing agency locum and bank medical professionals.

Qualifications

Essential

  • oGCSE (or equivalent) English, Grade C or above
  • oIT qualifications (or demonstrated working knowledge)
  • ECDL

Desirable

  • oECDL
  • oKey skills Level 2 in Literacy or equivalent
  • Knowledge of Microsoft

Skills, knowledge and competencies

  • oExcellent knowledge of Microsoft Office, in particular Word, Excel, Power point and Outlook.

  • oAbility to deal with all levels of staff under difficult circumstances.
