Main duties of the job

As our Admin Lead, you will be at the forefront of managing our dedicated admin team. Your role is pivotal in ensuring smooth operations within a busy customer service environment. You will be the go-to person for both our team and patients.

Job responsibilities

To be responsible for the efficient management, training and direction of the administration team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.

The following are the core responsibilities of the administration lead. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The administration lead is responsible for:

  • Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities.
  • Line managing all administrative staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training
  • Completing staff appraisals as required
  • Compiling and monitoring the admin / room rota.
  • Identifying and deliver team training where required.
  • Managing staff leave in line with HR handbook.
  • Managing sickness absence within the team.
  • Reviewing and updating all administrative policies and procedures as required
  • Support the management team in the compilation of practice reports and the practice development plan
  • Develop, implement, and embed efficient office processes and procedures.
  • Act as a focal point for the practice managing requests from external organisations
  • Coordinate the provision of temporary administrative staff ensuring sufficient cover is provided for periods of leave and other staff absences
  • First line management of patient concerns, or calls that require escalation.

Qualifications

Essential

  • GCSE English (C or above) and at least three others
  • Disclosure Barring Service (DBS) check

Desirable

  • AMSPAR Qualification
  • NVQ Level 2 in Health and Social Care
  • HR/ Leadership and / or Management Qualification
  • Educated to A-level / equivalent or higher, with relevant experience
