An exciting opportunity to join our small friendly team as a maternity administrator for 23 months fixed term.

This role is based at Worcestershire Royal providing comprehensive secretarial and general administrative support for our Maternity services.

Main duties of the job

  • The main purpose of the role is to provide administrative support for Maternity services.
  • The post holder will also provide a link between the Matrons, maternity managers, colleagues and others, passing information, taking telephone messages, responding to emails and either resolving the query or passing it onto the relevant team members.
  • Excellent organisational and communication skills alongside solid administration experience are essential for this post.
  • This post involves significant computer work. Good skills in the use of software packages, Word, Excel, Outlook, etc. are essential.
  • Ability to prioritise own work; maintain concentration, composure and accuracy in a busy role with regular interruptions is essential.

Job description

Job responsibilities

  • Provide comprehensive secretarial and general administrative support to Maternity Services including word processing of correspondence and reports etc, arranging meetings, preparation of documentation, taking minutes and undertaking any follow up actions as necessary.
  • Organisation of appropriate filing systems.
  • Order and maintain maternity administrative and clerical stationery supplies.
  • Generate correspondence on routine and non routine matters and compile letters for signature as necessary for senior midwifery team.
  • Handle telephone enquiries, internal and external, from staff and members of the public, filtering and actioning messages as appropriate.
  • Assist in compilation of statistical data, both manual and computerised, and dissemination as appropriate to senior midwifery team.
  • ln liaison with senior midwifery staff/personnel department, provide secretarial support in relation to recruitment issues, throughout the recruitment and induction process.
  • Maintenance of personnel records/files for all maternity staff, including generation of documentation for signature.
  • Maintenance of systems for monitoring and recording study leave and changes in staffing establishment.
  • Monitoring of monthly Nursing & Midwifery Council professional register, ensuring individual midwives' registration up to date.
  • Notification of same to personnel management in liaison with Head of Midwifery/senior midwifery staff.
  • Working closely with Maternity Secretaries on other sites and the PA to Head of Midwifery & Gynaecology, and to provide support when necessary.

Person Specification

Qualifications

Essential

  • GCSE Maths and English C or above, or equivalent.
  • Educated to NVQ Level 3 in Business Admin or equivalent or relevant experience.

Knowledge and Skills

Essential

  • Proven Interpersonal /communication skills.
  • Effective written communication skills
  • Data input skills
  • Effective organisational skills
  • Able to work without supervision
  • Microsoft Office Packages e.g. Word, Power Point, Excel, Outlook
  • Willing to undertake further training related to role
  • Awareness of Health and Safety issues
  • Knowledge and understanding of data protection confidentially

  • Able to identify when to escalate

Desirable

  • Knowledge of NHS systems such as PAS, E-Roster.

Experience

Essential

  • Proven prior customer services experience.
  • Ability to prioritise tasks.

  • Ability to communicate messages and instructions accurately to colleagues, both verbally and in writing.
  • Developed keyboard skills (through practice).
