Job summary

We have the opportunity for a practice typist to work with Whittington Moor Surgery secretarial team for 7 hours each week working over one working day (which will be agreed with successful applicant).

Being part of the secretarial/admin team you will be an integral part of the Whittington Moor Surgery practice team, processing all aspects of our outgoing referrals to various services and providers along with joining a large, busy friendly practice administrative team where we work hard but play hard!.

If you feel you can work in a fast paced GP practice environment dealing with queries from clinicians, processing outgoing referrals and dealing/speaking with patients and their carers or relatives you should consider applying to work for us in this role.

Main duties of the job

The main duties for this post:

You will type referral letters to hospitals and consultants with varying levels of urgency

Update the practice's referral log and ensure this is kept up to date

Taking minutes and typing these up from certain practice meetings

Contacting secretaries at hospitals, consultants and patients by telephone

Typing up Insurance and medical reports and emailing

Any other appropriate administrative duties that may be delegated to you

JOB DESCRIPTION:

To provide a comprehensive and efficient secretarial and clerical service to the Practice.

It is essential that all members of staff are prepared to take on additional duties and relinquish existing ones in order to maintain efficient running and development of the practice. The partners reserve the right to redistribute duties and functions amongst members of staff as necessary.

All members of staff are expected to work as part of a team and it is therefore essential that they are able to cover each others jobs and responsibilities especially during periods of leave and sickness.

It is essential that staff deal courteously and considerately with patients and maintain complete confidentiality at all times, both at work and outside working hours.

MAIN RESPONSIBILITIES

  1. Audio typing referral letters to hospitals and consultants
  2. Creating, typing and sending Choose & Book referrals to hospitals and consultants.
  3. Checking outstanding and rebooking rejected referrals.
  4. Keep a log of all Choose and Book faults and refer to appropriate Help Desk.
  5. Secretarial support for Doctors, Practice Manager and Practice Nurses.
  6. Type and send reminders to patients regarding childhood vaccinations. Send out reminder letters and pre-school leaver booster letters.
  7. Taking and tying up minutes of meetings.
  8. Entering referrals onto the computer.
  9. Contacting consultants and patients via the telephone.
  10. Ensuring that accurate messages are recorded and delivered to the correct person.
  11. To carry out general clerical duties, including filing, photocopying, shredding and the use of other equipment when required.
  12. Typing of Medical Reports.

  1. Carry out Insurance Report work as per protocol

  1. Be part of the staff members who are contacted to cover for admin leave (short notice & pre booked)
  2. Making drinks for all other staff members and washing pots.
  3. Perform any other appropriate duties as may be delegated from time to time by the Managers.

Staff Appraisal

A staff appraisal procedure is in operation at the surgery and all staff are required to participate annually.

Staff Training

It is essential that all members of staff attend training courses or undertake relevant training as requested.

This job description acts as a guideline to the responsibilities of the post holder and will be reviewed in consultation with the post holder and amended to meet changing professional and service needs.

Person Specification

Qualifications

Essential

  • RSA Stage II (or equivalent) typing/word processing
  • GCSE Grade C or above in English.
  • Proficient in use of computer packages (word processing/email etc)
  • Audio Typing
  • Ability to record and/or pass on accurate information both written and verbal
  • Ability to prioritise workload and manage multiple deadlines
  • A minimum of one years recent office experience
  • Smart appearance
  • Ability to communication at all levels
  • Adaptable/flexible
  • Confidentiality/tact/diplomacy
  • Friendly outgoing personality

Desirable

  • RSA Stage III (or equivalent) typing/word processing
  • GCSE Grade C or above in Maths
  • OCR Qualification in Audio Transcription & Medical Terminology
