Job summary

Position is part time (30 hours per week), the service must be covered Monday to Friday and negotiation will be made at interview of the split of hours with the other post holder for the correct candidate in respect of flexibility to work these hours over four days.

The Children's Safeguarding team are looking for a dynamic, friendly, organised Administrator to work alongside the current team. You will be required to ensure the provision of a comprehensive administration service to the Children's Safeguarding Team.

The Children's Safeguarding Team is an extremely busy team and the work is varied and interesting.

Job responsibilities

The successful candidate will be responsible for a variety of duties including:

  • Provide a full range of Administration duties to the team.
  • Maintenance of databases, to record activity and compliance for the team. Support the collection of data using excel spreadsheets and shared drives.
  • Dissemination of safeguarding information to internal/external professionals, as directed by senior nurses, ensuring safe methods of communication are used at all times.
  • Receipt of incoming mail, telephone calls, and e-mails.
  • Triage of calls to the team from professionals recording and escalating these calls as appropriate.
  • Microsite administration
  • To support with taking minutes at meetings. Typing of reports, agendas, general correspondence, presentational material, etc.
  • Produce reports and circulate to the wider team.
  • Maintenance of filing systems.
  • Photocopying and collation of documents.
  • Assistance with formatting rotas for the team.
  • Work alongside the Vulnerable Children and Children in Our Care Teams supporting their admin function as and when needed.
  • Any duties that may be assigned from time to time.

Person Specification

Education & Qualifications

Essential

  • Good general education (5 GCSEs or equivalent) including English and Mathematics or equivalent experience
  • ECDL or equivalent Intermediate or Advanced Level Microsoft Office WORD, EXCEL, PowerPoint qualifications or equivalent experience

Desirable

  • Basic Secretarial / Business Administration Qualification

Knowledge

Essential

  • Knowledge in the use of email and the internet including information governance regarding sending and receiving information securely

Desirable

  • Knowledge of Safeguarding Children

Experience

Essential

  • Previous clerical / secretarial experience
  • Previous experience working as an administrator in a busy environment

Desirable

  • Previous experience of working in a health care setting / NHS

Skills & Abilities

  • Strong Computer Skills, including advanced keyboard skills, WORD, PowerPoint, Excel, Databases
  • Able to work on own initiative
  • Able to prioritise own workload in accordance with level of urgency and have a good understanding of time management
