Job summary

  • To support the Paediatric SLT and OT Teams in the day to day running of the service and to work as part of a team to provide a high standard of service delivery.

  • To provide high quality and comprehensive administrative support to the Therapy Team, ensuring the smooth running of the office systems that supports the clinical service.

Main duties of the job

Office Administration

  • To maintain a centralised and specialised administration process to handle incoming team referrals.
  • To operate and manage initial appointment procedures on RiO and departmental systems.
  • Maintain and review filing systems--both paper and electronic--to facilitate easy storage and access by relevant staff.
  • To carry out administrative and clerical duties for the team including filing, scanning, copying and distributing letters/reports to parents/carers and relevant professionals.
  • To collect, open and distribute incoming and outgoing correspondence via post, fax and email.
  • To manage room bookings as required.
  • To receive and screen phone calls for the team and deal with appropriately, referring to therapists if necessary.
  • To take phone calls from clients who may be self-referring or may be requesting other information about the service.
  • To communicate with colleagues, patients and visitors in a polite and professional manner at all times
  • To deal politely and effectively with others who may be under stress and/or have challenging communication difficulties
  • To monitor stationery supplies and order as appropriate

Job responsibilities

The Community Therapies Team provides high quality responsive uni- and multi-disciplinary assessment, treatment, advice and information to children and their families in the Borough of Wandsworth, who require Occupational Therapy, Physiotherapy and Speech and Language Therapy. Services are provided at the place most appropriate for the client including hospital and clinic sites, special and mainstream schools, preschool assessment centres and clients homes.

Person Specification

Qualifications and Training

Essential

  • Good standard of education - GCSE or equivalent in English Language and Maths
  • RSA typing/WP Stage 2 or equivalent demonstrable level of skil
  • Accurate typing of a reasonable speed (45wpm minimum)

Desirable

  • Secretarial or administration qualification
  • ECDL

Experience

Essential

  • Working in an office/clinic environment in an administrative or secretarial role
  • Data input, analysis and reporting
  • Proven experience of providing excellent customer care

Desirable

  • Diary management and organisation of events/meetings
  • Working within the NHS

Skills

  • Proficiency in Microsoft Word, PowerPoint, Outlook
