Job summary

We are looking for a person that is enthusiastic and has a positive approach to challenges to join the team. As part of a team of Business Administrators the role involves providing administrative support for clinical processes, audits and recalls. As well as being the main support team for all IT related work, implementation of software upgrades and system changes. The role is varied and will involve working with all members of the wider practice team.

The role is a temporary fixed term contract for 12 months and will be for 25 hours per week.

Main duties of the job

This role is extremely varied and includes duties that support all teams in the Practice.

As part of a team of Business Administrators, you will support the processing of Lab results, be responsible for the day-to-day processing of medical reports and lead the operation of the Chronic Management Recall System.

The role will also involve the support of IT services within the practice along with helping to install new systems and processes. This includes configuring new starters and providing an IT induction to new team members. Due to this, the successful applicant will need to have experience and confidence in dealing with basic IT setup of software and be flexible to work across all 3 surgery sites.

The role involves providing support to all members of the practice and the successful applicant will also need to be confident in liaising with both team members and those working in other organisations. The role will also involve working with teams to review processes within the practice and contributing to the implementation of new processes.

Darwin Medical Practice has a team of over 100 staff and provides care to over 21,000 patients. The Business Administrator will report to the Business Support Manager and will work with all teams in the practice depending on the requirements of each task.

Whilst we are a large team we are a friendly team and everyone works hard to care for the patients and support each other.

The wider practice ethos is to provide excellent care to our patients, showing respect to both patients and our colleagues.

All teams meet regularly to discuss updates, share training and changes to processes but we also have whole practice sessions to ensure that everyone is informed about practice developments and has chance to meet others that they would not usually see.

Job responsibilities

Principal Accountabilities

Carry out daily processing of the lab results received into the Practice Workflow, following a clinical protocol

As a team, process all medical reports according to the policies and timescales for completion

To assist with the operation of the chronic disease recall system

To assist with clinical audits and recall systems

Be responsible for system configuration for new starters and leavers and complete IT inductions with new starters to ensure they are set up and confident to use the practice systems

Ensure that IT upgrades are performed across the practice, supporting other teams where required.

Provide support to all teams with IT related input, including planning new services, improving existing processes and upgrading software.

Maintain the practice asset register, including accurate record keeping of decommissioned or quarantined equipment

Working with all team members in the collection of information for performance reporting on relevant team projects

Working with the management team to support the implementation of new procedures and review of existing procedures.

Carry out duties as per working policies, procedures and protocols and to ensure these are kept up to date

Qualifications

Essential

  • Level 3 education including maths and English grade C or above
  • Competent user of IT systems

Experience

Essential

  • Excellent communication skills
  • Able to manage work load and manage own time
  • Experience of dealing with the public and with sensitive and confidential information
  • Competent user of IT systems and software programmes such as Outlook, Word, Excel and Powerpoint
  • Confidence in installing software packages

Desirable

  • Working within a health care setting
  • Experience of using EMIS, Docman and iGPR
